Please note, all of these positions are volunteer positions. MAGWest is entirely volunteer run and does not have a paid staff.

Staff Operations

The Innkeeper organizes staff room requests to create room reservations for MAGFest volunteers. This role can be completed remotely and before the event.

Responsibilities:

  • Coordinate room assignments for staffers alongside the MAGFest director of staff services.
  • Review confidential staff requests including roommate requests, anti-requests, and additional accommodation requests to create accessible reservations.
  • Create room reservations based on departmental needs, staffer shifts, and staffer preferences.
  • On-call during event for emergencies pertinent to staff rooms is preferable.
    • This includes check-in issues, irreconcilable room-mates, no-shows, inaccurate reservation durations, and more.

Background: Experience working remotely is preferred. Innkeepers should be respectful of deadlines, detail-orientated, and respectful towards staffer accessibility.

The Staff Operations Manager serves as an at-event point of contact for volunteers and staffers. They generally assist with staff registration, shift sign up, while also dispatching on-call volunteers to understaffed departments.

Responsibilities:

  • Package and deliver department office supplies during setup.
  • Print out department documents as needed.
  • Escalate pertinent issues to relevant department heads.
  • Assist walk-up volunteers with various administrative tasks:
    • Registration
    • Shift administration: sign up, removal, and marking attendance
    • Dispatch: location direction, providing contact info to relevant department managers
  • Dispatch on-call staffers to departments that need immediate assistance.

Background: Staff Operations Managers should be proactive, work well independently, and enjoy helping others.

Logistics

Do you like planing out how to get stuff from point A to point B? Did you enjoy solving the traveling salesmen problem in your CS class? Do you feel passionate about making a good room layout? Then running the logistics department may be for you!

Responsibilities:

  • Communication with all departments in MAGWest
  • Renting trucks (with help of MAGFest's Lord of Logistics)
  • Planning to move gear from our storage unit into departments locations, and back
  • Budget planning for trucks, moving gear, gas etc. (We have templates/docs from previous years to help!)

Background:

  • Budgeting experience (calculate mileage, gas costs, truck rental)
  • Knowing how to move equipment safely (judging if a cart is over loaded or stuff isn't balanced)
  • Organizing a team to help move
  • Having planned your own move from one home to another
  • Excellent real-life Tetris skills

With directions, drive around SF Bay area helping to gather equipment. With help of other volunteers, help load and move gear from our storage unit to our venue.

Responsibilities:

  • Driving a ~17ft truck
  • Directing & loading in gear
  • Strapping down equipment where needed to ensure everything arrives safely
  • Moving gear with help of other MAGWest volunteers

Background: Comfortable with driving moving trucks, can direct people to move gear in a safe manner.

Guests

The Guests Department Head books, manages, and supports guests for MAGWest and works with them to ensure high-quality, interesting, unique content for event attendees.

Responsibilities:

  • Initiate and maintain communications with a wide range of possible guests
  • Work within department budget to allocate appearance fees, hotel rooms, and travel funds to booked guests
  • Collaborate with the MAGWest mainstage booking and panels teams to leverage existing connections and to build an event schedule
  • Ensure guests have all relevant information pre-event that they need to participate successfully
  • Act as a liaison onsite (and/or identify others who may act as liaisons onsite) in order to provide a positive experience for our guests

Background: The Guests Department Head should have at least 1-2 years experience in booking and managing Guests, Panels, Autographs, Performers, or similar high-profile external contacts in a festival environment. Ideally, they should also have connections or a deep interest in the video game/video game music industry locally, e.g. game design, voice acting, composing, performing, etc.

Main Theater Operations

Mix the monitors and front-of-house audio for main stage acts.

Responsibilities:

  • Set monitor mix levels prior to each act starting
  • Keep a pleasant overall front-of-house mix during acts
  • Maintain an overall volume that is safe for the people and equipment present
  • Act quickly to reduce/eliminate feedback or other transient audio issues

Background:

  • Prior experience with live sound preferred.
  • Basic understanding of operating a soundboard required.

Organize, monitor, and direct sound operations for the main stage.

Responsibilities:

  • Ensure the stage crew receive necessary assistance with (re-)plugging sound inputs during changeovers
  • Ensure that monitor levels are (re-)set appropriately after changeovers
  • Direct the operation of the house sound during the main set of acts
  • Organize sound checks where possible to minimize downtime/maximize set time

Background:

  • Prior experience with live sound preferred.
  • Basic understanding of operating a soundboard required.
  • Understanding of audio paths/cabling required.

Ensure the safe and timely setting/striking of the main theater.

Responsibilities:

  • Oversee the safe and timely unpacking, setup and connection of the main stage structural and technical components (truss, lights, projector screen, runs from tech island to main stage, electrical distribution, etc.)
  • Oversee the safe and timely striking and packing of the main stage structural and technical components
  • Ensure that rented equipment is correctly tracked and turned over to the appropriate people (logistics or directly to the renting agency) after the strike is complete

Background:

  • Prior experience with truss de/construction required.
  • Prior experience with clamping (e.g., lights) to truss required.
  • Knowledge of wire routing and gaffing preferred.
  • Certificates/safety training for truss-related work preferred.

Run lights during main stage shows.

Responsibilities:

  • Create lighting effects in real time which are synchronized to the musical content and which are appropriate for the genre/mood.
  • Ensure performers are visible to the audience and cameras (except for certain metal/rave shows where this is undesirable).
  • Attend training before the first shows regarding how to use the unconventional lighting control hardware / software.
  • Arrive early before each set and stay after until your replacement arrives.

Background:

  • A musical background would be helpful, but not required.

MEDIATRON!

MEDIATRON! Videographers will independently record events at MAGWest. This covers a wide swath, from producing short promotional pieces highlighting cool things happening around the festival, to long-form recording of panels and other educational discussions to further MAGFest's 501(c)(3) mission of furthering the appreciation of video games, video game culture, and video game music. If you have a fun idea for a video, we're all ears!

Responsibilities:

Videographers will independently operate to capture events they are interested in recording, ranging from
  • Panels.
  • MAGES.
  • Music performances that are NOT in the main concert hall.
  • Game Tournaments.
  • Attendee experiences.
  • Spontaneous hallway shenanigans.
MEDIATRON! gets requests from other MAGWest departments to record their events as well, that volunteers may be assigned.

Background: Must have own equipment. Knowledge of video production and post-production techniques. Ability to operate by yourself to produce a finished video, and adapt to the recording conditions as needed. Familiarity with audio mixers if recording in the presence of a PA system, to pull a clean feed for video.

MEDIATRON's Main Theater streaming operators will handle various aspects of the Twitch stream of MAGWest's Main Theater performances.

Responsibilities:

Setup/teardown of streaming equipment and cabling. Operating video cameras. Switching between multiple camera angles to provide a dynamic and interesting show for Twitch (and later, YouTube) audience. Monitoring audio/video quality of Twitch broadcast for the duration of a performance. Ensuring performance is recorded properly.

Background:Jack-of-all-trades audio/video/camera experience is preferred, since the team is small, you'll be wearing several hats. Knowledge of Twitch streaming standards, including appropriate resolutions, bit rates, and how to use graphics overlays with common streaming encoders like OBS. Know how to operate a camera, set exposure, focus, white balance for desired results. Having a basic ear for music, for monitoring the stream audio and relaying any needed adjustments to the Main Theater Audio Engineer. Ability to understand video signal-flow, running HDMI and SDI cabling for multiple cameras into a video switcher, and recording and capture devices. Basic familiarity with music performance terms.
